Invoices guide

Getting started with Invoices

Invoices makes invoices, numbers them when you issue them, posts them to your books and keeps track of what is paid. Everything is kept in this browser.

Open Invoices

Before you start

Your company name, address, tax number and currency come from the Company tab in Admin. Fill them in once and they appear on every invoice.

Make a draft

The invoice is drawn as a page next to the form. On a draft you can click the customer, a date, a line or the notes on the page to change them there. Layout picks one of five designs.

  1. Choose New invoice.
  2. Pick a Customer, or choose New customer to add one (Name is required; Email and Phone are optional).
  3. Check the Invoice date and the Due date.
  4. Fill in the first line: Description, Qty, Unit price and Tax %. A Discount % is optional. Choose Add line for more.
  5. Add Notes if you like, such as your bank details, and choose Save draft.

Issue it and record the payment

A part payment is allowed. When the balance reaches zero the invoice reads Paid.

  1. Choose Issue… and confirm. The invoice gets the next number (INV-0001, then INV-0002) and is posted to the ledger. An issued invoice cannot be edited.
  2. Choose Export PDF to download it, or Preview / print to print it.
  3. When the money comes in, choose Record payment…. The amount starts at the balance; set the Date and Method (bank transfer, cash, card or other) and choose Record payment.

Tip: Made a mistake on an issued invoice? Void… reverses it while nothing is paid. Once it is paid, use Credit note… instead.

See who owes you

The Invoices list shows every invoice with its status: Draft, Issued, Paid, Void or overdue. Search by number, customer or notes, and filter by Status.

Owed by customer adds up the unpaid balances per customer. Open a customer there for a statement with a running balance, which you can print or download as CSV.

Back up

Invoices stay in this browser on this device. The Data tab downloads a full backup and restores one. Download a backup now and then.
