Make an invoice with VAT or sales tax

Each line has its own tax rate, so one invoice can mix rates (or zero). The totals list the tax for each rate, and the tax is posted to sales tax payable in your books when you issue it.

How to do it

1. In Admin, fill in the company profile: company name, address and Tax number (your VAT or GST number), and the default tax rate.
2. In Invoices, choose New invoice and pick the customer.
3. Add the lines. Type the rate in Tax % on each line, such as 20, 5 or 0.
4. Check the totals: Subtotal (before tax), then a Tax line for each rate with the amount it is charged on, then the Total.
5. Issue… the invoice and choose Export PDF. The tax number is printed under your address.

The amounts are kept in whole cents (or pence), so the tax for each rate adds up exactly. Issuing posts the invoice to the ledger: receivables for the total, revenue for the subtotal and sales tax payable for the tax. Reports then shows the tax collected and reclaimed by quarter.

Questions

Does it work for VAT, GST and US sales tax?

It works with any percentage tax added on top of the price. The word on the invoice is "Tax", with the rate, so it suits VAT, GST or sales tax. Check your own country's invoice rules.

Can one invoice have several tax rates?

Yes. Every line has its own Tax %, and the totals show the tax for each rate separately, with the amount it was charged on.

Where does my VAT number go?

Type it as Tax number in the company profile in Admin. It appears under your address on the invoice, the PDF and the footer.

Can I see how much tax to pay?

Yes. The Sales tax by quarter report in Reports sets the tax on issued invoices against the tax to reclaim on expenses. Check it with your accountant before you file.
